I used to like sticky notes... the convenience, the color coded options, the fact I could stick them on my monitor right in front of me. I liked the ritual. I get a new task, I add it to a sticky note and plaster it somewhere on my desk.

But the fun usually stopped there. More often than not I’d have a wall of unorganized sticky notes surrounding me. Stuck to my keyboard, laptop, computer monitor, even surrounding the perimeter of my large executive size desk. Often times I would find sticky notes from 2 months ago with ideas long forgotten and never implemented. My desk usually looked and felt like this...

Long story short, I dropped sticky notes, lost my ritual and set out to create a new one. If I was going to organize my work everyday then I wanted something that supported mental clarity, efficiency, and a clean work space. And, of course, it had to result in me crushing my work goals and getting sh$$ done. That’s when DeskBoard Buddy was born.

First I needed a centralized place for work tasks. Sticky notes were too all over the place. There was no order or priority to the chaos.

Electronic to-do list apps seemed like a good alternative. I tried switching to a popular online task manager for a few months. But it was way too easy to ignore. Usually the only time I logged into the app was to add more tasks, never to review and complete old ones. Before long I had a list of over 200 uncompleted tasks… and they were charging me $7 a month for the privilege. No thanks. Back to square one.

The task list that organized my work life needed to be physical, and needed to be ever present on my desk. If I ever procrastinated and starting watching YouTube then I wanted my task list to be within my peripheral vision to bring me back to reality.

So my new desk buddy needed to be in one place, ideally right next to my monitors. Check. ✔️

I also needed to be able to quickly cross off and get rid of old tasks. Sticky notes were good at that. I would tear them off, crumple them up, and throw them into the trash can. It had to be just as easy… How about a dry erase board… Double check. ✔️✔️

Lastly, and this was important, it needed to have just the right amount of space. The biggest common problem I had with sticky notes and task manager apps was the unlimited number of tasks I could add. Ever heard of Parkinson’s law? It says that our work tends to fill up the time and space that we give it. If we have the option to add 200 tasks to our list, we are going to do it.

Take that option away, and only give room to add 20 tasks to your list at any one time and you are forced to act on those tasks. This was the ah-ha moment for my work flow. Once I realized this one truth my professional productivity changed forever.

But how do we implement this into our desk buddy? Well, it’s a whiteboard. So make it a certain size. There’s a limit after all to how small I can write and still see things. So, that was easy. Check 3. ✔️✔️✔️

For any to-do list or note taking equipment to be effective it also needs to be quick and easy to write stuff down. Sticky notes were ok for that. I usually had a pen or pencil on my desk somewhere, and my sticky note pad was usually around the general vicinity as well. But it was far from perfect. Often times my sticky note pad found its way on the floor, or in a desk drawer and I was unable to quickly capture my thought or idea on the fly. I can’t tell you how frustrating that feeling can be.

So the desk buddy dry erase board needed to always have a marker close by. Well, let’s just put a marker stand on the top of it. Check 4. ✔️✔️✔️✔️

At this point the DeskBoard Buddy has really taken shape. It’s already my ideal note/to-do list taking piece of equipment. But what else can we make it do?

Well, I think every professional knows the importance of a clean desk space. Both from a ‘finding things’ perspective and a ‘mental clarity’ perspective. Just something about having a clean and tidy desk helps to calm the mind and keep you focused. Don’t ask me. But I feel it, and I want it. So the DeskBoard Buddy is getting an internal storage compartment for everything that tends to clutter up my desk. Check 5. ✔️✔️✔️✔️✔️

Lastly, I like using my phone for work. I know, it’s controversial. A lot of people say cell phones lead them to procrastination. Hey, I like angry birds as much as the next guy. I get it. But I actually take a lot of phone calls and text messages for my work, so I like to keep my cell in eye sight. It works for me. So let’s put a phone stand on the top of this thing too. And if someone doesn’t want to use it, they can put their phone in the internal storage compartment. Check 6. ✔️✔️✔️✔️✔️✔️

And there we have it. The DeskBoard Buddy was born. It started with a question: “where did I put that sticky note”. We followed that question which led to bigger questions about task overload, the hinderance of giving too much room to add new tasks, and the impact of messy desks on performance output. Who knows where this journey will take us next, but we’re pushing ahead with you.
